Student Academic Appointment (SAA) Procedure

SAAs are hired on a per-semester basis, even for full academic year appointments. This is VPFAA-preferred practice and helps reduce errors when appointments unexpectedly change or end.

The standard procedure for the SAA hiring process is as follows:

  1. Assistant Dean of Finance sends out email to all faculty with deadlines for RA selections
  2. Research Assistant appointments and Associate Instructor requests are due to department assigners by the deadline (Fall: July 15; Spring: November 15; Summer: April 15)
  3. Department assigners finalize assignments
    1. Computer Science: Charles Pope
    2. Informatics: J Duncan
    3. Engineering: Jack Satrom
    4. Information & Library Science: Pnina Fichman
  4. Contracts & Grants Specialists review selections and accounts to confirm funding is available
  5. Payroll team begin sending contracts and processing hiring edocs, I-9 forms, and background checks.

Hiring is a multi-step process that takes time. It is critical for selections to be submitted by the deadline in order for all students to be hired before their appointments are scheduled to begin.
